Bookkeeper Needed for Bookstore!

General Ledger Bookkeeper needed for Santa Rosa 501(c)(3) Non-Profit:

Our Non-Profit has been operating for several decades in Sonoma County, and the main office
is in Santa Rosa. The Non-Profit operates a small bookstore with a dedicated staff of volunteers
who record sales in our Shopify system and tally daily sales. We employ 4 workers: Bookstore
manager, Assistant manager, bookkeeper, and CPA. We are currently seeking a new
bookkeeper. This is a part-time non-exempt hourly position, expectation of 15 to 20 hours per
month. Request 2-3 hours weekly on-site until established, with possibilities of remote
flexibility.

Job Description and Responsibilities:

  • Process all financial transactions into QuickBooks including the following:
  • Revenue recording from Shopify into QuickBooks weekly. Recording sales and adjusting
    inventory for Sales and Sales Tax monthly.
  • Record bank deposit into QuickBooks weekly.
    Accounts Payable:
  • Record rent, utility, and misc. expenses payments into QuickBooks monthly, and review
    accounts for correct expense allocation.
  • Review vendor invoices for accurate receipt of inventory. Enter invoices into QuickBooks
    and prepare list of checks for Bookstore Manager to process.
    General:
  • Responsible for document management in the office and cloud storage.
  • Prepare monthly financial reports using existing format in QuickBooks by reviewing,
    analyzing and summarizing sales, income and expenses.
  • Prepare documentation of accounting processes for review by Board of Directors
    quarterly.
  • Collaborate with CPA for other functions, including monthly bank reconciliations and
    documentation from quarterly sales tax and payroll tax filings.

Must have strong communication and computer skills including QuickBooks, Excel (charts and
formulas) and other systems. Experience with Non-Profit accounting is important. Experience
with supply chain/inventory and retail accounting preferred. Degree in accounting preferred,
however, appropriate experience will be acceptable for application.
